In case your Outlook space (50Go) is full, you can do this:

  1. Make sure all emails are stored in local cache :
    • In Outlook desktop client, click on File > Account Settings
    • A new windows pop-up. Double-click on your email account :


    • Make sure "Use Cached Exchange Mode to download email to an Outlook data file" box is ticked
    • Set the sliders on "All" :

    • Click on "Next" and "Done". Restart Outlook and wait for all mails do be downloaded.
  2. Go to File > Cleanup Tools
  3. Select in the dropdown menu Clean Up Old Items
  4. Click on the Archive this folder and sub-folder option.
  5. Enter a date under the Archive Items Older than field.
  6. Mark the check box beside Include Items with “Do not AutoArchive” checked option to archive the individual items that are excluded from archive.
  7. Then OK

*Please be aware to not create your archive in OneDrive sync Folders (must be done in LocalFolder)*

Directory example : C:\Users\yourLogIn\AppData\Local\Microsoft\Outlook\Archives\2019.pst



You may want to Archive Yearly, here is the steps starting from  4. :

  1. Under the Archive Items Older than field , enter the N+1 oldest year existing First ( in example let’s say the oldest email existing was in 2019  you should enter 01/01/2020 to archive all email in 2019)
  2. Mark the check box beside Include Items with “Do not AutoArchive” checked option to archive the individual items that are excluded from archive.
  3. Then Ok  to start archiving 
  4. Go through the same steps  for each year  (Do Not forget to change the archive name according the year in the directory to avoid replacements of old one )
